These are the questions HVAC owners ask most often before they start. If yours is missing, call, text or email and ask it directly. The short version of almost every answer is the same: we measure and coach, your CPA keeps the books, and you make the decisions.
Frequently asked questions
Are you accountants?
No. HVAC.Accountant is a KPI and profit-coaching service. We do not do bookkeeping, tax returns, audits, reviews or financial statements, and we do not give tax advice. Your own CPA handles all of that.
Will you work with my CPA?
We can share the dashboard with your CPA if you ask us to, so the operating numbers and the statements tell the same story. We do not take instructions from, refer to or name partner accounting firms.
Are you an HVAC contractor?
No. We never install, repair or service equipment, and we will not compete with you for customers. Our work is limited to your numbers and, if you choose, your marketing.
How much does KPI coaching cost?
It is scoped to your company and quoted in writing after a first conversation. Marketing plans from the HVAC.Agency family are published, starting at $2,998 a month plus GST/HST for your province.
Is there a long-term contract?
No lock-in. The terms of your engagement, including notice, are confirmed in writing in your proposal before any work starts.
What data do you need from me?
Usually invoices grouped by job type, payroll or timesheet hours, your agreement list, marketing invoices and ad account reports, and monthly bank balances. Exports are enough; we do not need logins to your accounting file.
Who owns the dashboard and the data?
You do. The dashboard, its definitions and every export you send remain yours. If you stop working with us, you keep using the dashboard however you like.
How quickly will I see a first dashboard?
Normally within a few weeks of receiving clean exports, and sooner for smaller companies. The schedule is confirmed in writing at the start.
We tried an agency before and the reports were useless. Why is this different?
Because the dashboard is defined before any work starts and uses your own operating data, not a vendor's own counting. If a number cannot be traced to a source line, it does not go on the page.
Can you promise better margins or more profit?
No, and you should be wary of anyone who does. We make the numbers visible, agree targets with you and report honestly against them. The decisions and the work in the field are yours.
Do you give advice on pricing my services?
We show you what your current prices produce in margin and per technician-hour, and how a change would move those figures. Setting the price is your decision.
Can this help if I want to sell my company one day?
Yes. Buyers ask for exactly these operating numbers. Exit planning itself, such as valuation and deal structure, is handled separately through Sedighi.ca and BizSell.ca, the group's business-sale and exit brand.
Do you meet in person?
Yes, in person or by video call, and we work by phone, text and email with owners across Canada. Reviews can use any of these.
About what we are
HVAC.Accountant is a KPI and profit-coaching service, part of the Sedighi.ca and SAZ.ca group. We are not a CPA firm and not an HVAC contractor. The questions about accountants come up on almost every first call, which is why they lead the list above.
A useful way to picture the split: your CPA tells you, with authority, what happened in your books. We tell you, every month, which operating numbers made it happen and which ones are moving now. The two work best side by side. If you want background on the CPA profession in your province, the areas pages link the provincial CPA bodies we have checked.
About price and contracts
KPI coaching is quoted in writing because setup depends so heavily on your systems and data. Marketing plans from the HVAC.Agency family have published prices on our pricing page. Every engagement is no lock-in, with terms set out in your proposal.
About data and ownership
We work from exports, never from inside your accounting file. Everything we build for you, including the dashboard and its written definitions, belongs to you. Many owners eventually hand preparation to their office manager and keep us for the monthly review, which is exactly how the owner dashboard service is designed.
About results
We do not promise outcomes. What we can show is the arithmetic: every figure traced to a source line, and published results from our HVAC marketing work on the results page. If you want to judge the approach before paying for anything, the free dashboard checklist guide is a fair test.
About timelines
Expect the first month to be mostly setup: agreeing job types, writing KPI definitions and collecting exports. A first dashboard usually follows within a few weeks of clean data arriving. Targets take two or three months to settle, because they come from your own history rather than from a published benchmark. From around the fourth month, reviews become routine and short.
If you are heading into your peak season, it can make sense to start with a single piece of work, such as the cash map, and build the full dashboard once things quieten down. We would rather start small and keep going than start big and stall in January.
About the questions we cannot answer
Some questions come up often that are outside what we do, and it is better to say so plainly:
- "Should I incorporate, or change how I pay myself?" That is tax and legal territory. Ask your CPA and, where needed, a lawyer.
- "How should I record agreement revenue or rebates in my books?" A CPA question, because it depends on accounting rules and how you bill.
- "Is this equipment or installation compliant?" A question for your provincial regulator, which our areas pages link to, and for your licensed technicians.
- "What should I charge?" We will show you what different prices do to margin and per-hour revenue. The decision is yours.
About switching from another provider
If you already have an agency report or a bookkeeper's monthly summary, keep it. We can usually rebuild your dashboard so it sits alongside what you already receive, and we will point out where the definitions differ. Owners switching marketing agencies often use a few months of our cost per booked job line as a neutral baseline before and after the change.
Still unsure?
Start with the services overview, which explains how to choose a first area, or send a message with your two biggest worries about the numbers. We usually reply within one business day.
